How the calculation works
Break-even guests = fixed costs ÷ what each guest contributes. What a guest contributes is the price they pay, minus the VAT or GST you remit, minus payment fees you absorb, minus per-guest costs like meals.
Profit at a given occupancy = what guests pay − VAT − payment fees − per-guest costs × guests − fixed costs, then income tax on anything left.
Card processing is modelled at 2.9% + 30¢ per payment, a common card rate; your provider's rate may differ.

Questions about pricing a retreat
How do I calculate the break-even point for a retreat?
Divide your fixed costs (venue, teachers, marketing) by what each guest leaves you after VAT, payment fees and per-guest costs such as meals. The result is the number of guests you need before the retreat makes money. This calculator does it for you and rounds up to whole guests.
What counts as a fixed cost versus a per-guest cost?
Fixed costs stay the same however many people come: venue hire, a whole-property booking, teacher fees, your travel and marketing. Per-guest costs grow with every booking: meals, per-person room rates, transfers, materials and welcome gifts.
Should I include VAT or GST in my price?
Enter your price before tax. The calculator adds the VAT or GST rate you set on top, shows what the guest pays, and takes the tax back out of your profit because you remit it.
Should guests pay the card and platform fees?
Many organizers pass them on so the listed price is what they receive. Turn each fee on or off to see the difference. On MyRetreatDesk you choose this per retreat.
How much profit should a retreat make?
There is no standard margin. Decide what your time and risk are worth, enter that as the profit you want, and the calculator tells you the minimum price per guest at your expected attendance.
